Certificate PDF allows you to upload three PDF's. Before uploading the PDF's, VS Admin's needs to the following steps.

 

Step 1 - VS Annotate PDF downloaded from IREGS/PTW

 

NOTE: Step 1 is performed outside of VEHCS. The resulting annotated PDFs will be during the Step 2 process.

 

This is a one-time process per pdf. However, if the PDF is changed at the source, the PDF will need to go through the annotate and upload process again.

Download the IREGS or PTW HC PDF to desktop.
Annotate the data entry fields to be entered by the External user.

    - For General Data (e.g., Consignor name/address, Consignee name/address) use the data provided in the Reference Table as guide where possible. Up to 15 additional 'general data' fields can be defined for each HC PDF.

    - For Commodity Data use the prefix 'Commodity_row #' (e.g., Commodity_1) to ensure the AV entered data is saved correctly.

    - For Statement Data use the prefix 'Statement_statement #' (e.g., Statement_1) to ensure the AV entered data is saved correctly.

           - For Cerification Table Data use the prefixprefixed with 'Cert_Table#_row# (e.g., Cert_1_1 denotes the first data row of the first certification table) to ensure the AV entered data is saved correctly.

Save the annotated PDF. This draft can be used by the AV to view their data in the Health Certificate PDF
Add seal(s) and any fields exclusively entered by USDA.
Save this annotated version as the official copy.
Create/save a PDF of the Certification Statements to be used by the AV as reference data.

 

 

Once the templates are ready, please follow the steps below.

Upload the Draft template using the first upload button.
Upload the Official template using the second upload button.
Upload the statement reference file using the third upload button.

RESULT: All three files are uploaded successfully.

 

NOTE: Definition can not be activated until all three files are uploaded.

 

Select Addendum Yes or No. If Yes, enter the list of addendum's.
Enter Additional Instructions for the AV, if any.
Once you complete all the steps, click Next.
